Job Title: Influencer Seeding Assistant & Outreach Coordinator
Location: Remote
Work Shift: EST Timezone, preferred overlap
Working Hours: 20 hours per week/Part-time initially
Job Description:
We are seeking an Influencer Seeding Assistant & Outreach Coordinator to support the development and execution of our influencer gifting and cold outreach strategy. This role is perfect for someone who understands the aesthetic, tone, and voice of health, fitness, and lifestyle brands — and is excited to grow with a team building a robust influencer seeding program from the ground up.
KEY RESPONSIBILITIES:
- Identify & vet 30-50 fresh micro-influencers (20 k – 60 k followers) each day, ensuring brand-value and aesthetic alignment.
- Execute 50-70 personalized DM / email outreaches per day and log follow-ups to keep the pipeline moving.
- Coordinate gifting end-to-end: collect sizes and addresses, create Shopify draft orders, book labels, paste tracking links, and update status flags.
- Maintain creator database (Airtable / Google Sheets): outreach stage, shipment logs, engagement metrics; flag “Shipped 7 d+ / No Post” cases for action.
- Archive UGC promptly: download new posts, file in Drive, run Fireflies transcripts, and hand clean assets to the editing team.
- Rename assets and ensure organization is compliant with our creative process
- Refine SOPs & messaging in collaboration with the internal team—update DM templates, benchmarks, and checklists as learnings emerge.
- Safeguard brand voice in every creator touchpoint; ensure all communications look, read, and feel unmistakably like the brand.
- Proven experience in influencer marketing, outreach, or brand-ambassador coordination (preferred).
- Strong understanding of the health, fitness, and lifestyle content landscape.
- Excellent communication and organizational skills.
- Aesthetic eye for social media — you know what “on-brand” looks like.
- Proactive, resourceful, and detail-oriented
- Comfortable working independently and as part of a growing team.
- Process-driven & spreadsheet-savvy (Google Sheets formulas, pivot tables, Airtable automations, basic Zapier/Make)
- Shopify order-ops knowledge (creating draft orders, applying discount codes, troubleshooting fulfillment errors)
- Database hygiene mindset (deduping, unique IDs, version control)
- Fluency with everyday AI productivity tools (e.g., Fireflies for transcripts, ChatGPT prompts, background-removal apps)
- Comfortable turning raw data into a one-page PDF/Slide summary with key metrics
NICE-TO-HAVE
- Experience with influencer tools/platforms (Aspire, Upfluence, Refunnel, SARAL)
- Previous success with micro-influencer campaigns or gifting programs.
- Bilingual: strong written and spoken English and conversational Spanish; can adapt tone for DMs and emails.
- Copywriting experience for DM or email outreach
- Previous experience in video editing and an eye for strong video content
- Ideally has a background in creative writing.
- Basic Canva or CapCut skills to clip UGC highlights and create simple social graphics.
